JOB DESCRIPTION

Our client, located in Washington, DC, is seeking an Executive Administrative Assistant for a contract position. This role is hybrid, onsite T-TH.

Responsibilities:

  • Provide high-level administrative support to an Executive, handling secretarial and clerical tasks.
  • Compose, proofread, and edit emails, memos, and other communications on behalf of the Executive.
  • Organize and coordinate meetings, including scheduling, sending reminders, and arranging catering as needed.
  • Plan and facilitate external events, such as business meetings or luncheons with external partners, including Government Relations offices or officials. Understanding seniority and governmental rankings is essential.
  • Manage complex travel arrangements for multiple individuals, both electronically and over the phone.
  • Professionally answer and direct phone calls, ensuring polite and efficient communication.
  • Greet visitors, determine the purpose of their visit, and direct them to the appropriate department.
  • Maintain and manage the Executive’s calendar, scheduling appointments, and prioritizing critical matters.
  • Ensure accurate and comprehensive record-keeping.

Qualifications

  • Bachelor's or Masters degree required
  • 8-10 years of experience
  • Proficient in Microsoft Word, Excel, and PowerPoint, with the ability to perform advanced tasks.
  • Skilled in managing complex tasks within databases and email systems, and capable of training others.
  • Efficient at utilizing a wide range of online resources.
  • Knowledgeable in operating advanced features of phone systems, voicemail, and other office equipment.
  • Capable of managing multiple filing systems and electronic or physical calendars.
  • Perform light accounting duties as needed.
